Position Available: Administrative Assistant for the Town of Clarksburg

Duties:

  • Assist the Board of Selectpersons and the Town Administrator, as well as other boards/committees affiliated with town hall.
  • Attend Board of Selectpersons meetings, taking the minutes, preparing for approval and signatures
  • Responsible for the day-to-day operation of the Administrative Office
  • Assist town residents, outside agencies, and the general public with any questions or concerns, or if needed, direct them to the appropriate office they need to contact on the matter
  • Process licenses and permits for the Board of Selectpersons, as well as permits for all inspectors. Assist in filling out various applications.  Receive and record payments for these licenses/permits and transfer over to the Treasurer
  • Submit to the State all reports and licenses pertaining to the Board of Selectpersons
  • Maintain records of employee’s vacation and sick time taken
  • Provide our insurance company with information needed for an employee or town claim or for informational purposes
  • Purchase office and custodial supplies for all town department
  • Responsible for various advertisements (classified or legal) that need to be placed in local newspapers for departments throughout the year
  • Receive and distribute mail for all town hall departments
  • Receive incoming calls for the Police Department’s Non-Emergency phone, dispatch when necessary
  • Billing for all outside detail work and maintaining a lot of jobs and payments
  • Maintain an up-to-date resident & sewer/water lists
  • Highway Department, maintain various files pertaining to roads and sewer, emergency contact when needed through phone or radio. Maintain the Town's street list including update of ownership of dwellings.
  • Prepare billing invoices for various town departments and receive payments.
  • Process all Cemetery Deeds, maintaining a record of all purchases of cemetery lots as well as burials.
  • Compile, re-type (if needed), and submit to the printer all information in preparation for the printing of the Town’s Annual Town Report (once a year)
  • Assist Town Accountant where needed.
  • Look up various account balances for department heads.
  • Assist Vendors on payment of various invoices
  • Administer the use, rental and maintenance of all Town facilities and equipment under the jurisdiction of the Board of Selectmen.
